Administrative Officer
Job description
The Administrative Officer is responsible for carrying out general administrative tasks related to the mandate and objectives established by the Coordinator of the Employment and Training Service Centre (ETSC). The incumbent may be required to perform other related tasks.
TASKS AND RESPONSIBILITIES
- •Enter and keep client file information up-to-date in the ALMASS and the MSI databases, according to established methods and procedures;
- Collect, print, file all correspondence in the client file (ex.: invoices, receipts, attendance reports, payroll records, contracts, medical certificates, notice of end of participation, notice of decision, changes of address, etc.);
- Send the documents, as well as the contracts, to the training centres and sponsors and ensure a follow-up with them to ensure that the agreements are signed, send a copy to the regional office and ensure the follow-up;
- Compile data, produce statistics and provide all necessary information requested (ex.: list of allowance payments);
- Assist colleagues in the preparation of reports (ex.: results tracking, attendance, activities, financial, payroll records, absence reports, etc.);
- Assist in closing the client files by ensuring that all payments have been processed in accordance with the internal procedures of the Urban Strategy and that the final report has been placed in the file;
- Participate in the development of new tools, upon request, to facilitate the work of ETSC employees.
Required experience and qualifications
REQUIREMENTS
- •Fluency in French and English;
- Diploma of vocational Studies in secretarial or accounting; or
- Diploma of college studies in office system technology; or
- High school diploma combined with secretarial experience;
- Knowledge of current software including Microsoft Office Suite (Word, PowerPoint, Excel, Outlook), the Internet and others
KEY SKILLS
- Good understanding of the urban Indigenous community, as well as of Indigenous structures and institutions;
- Excellent oral and written communication skills;
- Good knowledge of basic mathematics.
- Attention to detail, discretion and autonomy and versatility;
- Strong sense of responsibility and work organization;
- Good time management skills and ability to work under pressure.
