🎯 Description:
The Mohawk Council of Kahnawà:ke is seeking a Receptionist to provide front-line reception and administrative support to various departments within the Client Based Services Unit. The ideal candidate will deliver courteous, organized, and efficient service to both the community and internal teams.
✅ Responsibilities:
Reception Services
Greet visitors and answer incoming calls, directing inquiries to the appropriate department.
Take and forward accurate messages.
Maintain logs for meetings, vacations, personal/sick days, and workshops.
Keep reception and waiting areas clean and welcoming.
Maintain and update the Reception Manual.
Administrative Support
Respond to general information requests from community members.
Perform photocopying, faxing, and assist with courier or special deliveries.
Manage incoming/outgoing mail: date stamp, prioritize, and distribute.
Maintain the scheduling board and appointment calendar.
Draft letters, reports, charts, and other office documents.
Distribute cheques for pickup when required.
Maintain filing systems, meeting schedules, and supply levels.
Keep office equipment in working order and organize kitchen and meeting rooms.
Submit supply orders and track recycling materials for weekly pickup.
Training and Oversight of Temporary Replacements
Train temporary receptionists to ensure compliance with reception standards.
Evaluate replacement staff and provide feedback to the supervisor.
Schedule temporary replacements when necessary.
Required experience and qualifications
⭐ Qualifications:
Option 1: DEP in Secretarial Studies and 1 year of relevant office experience.
Option 2: High School Diploma and 3 years of relevant office experience.
Skills and Attributes:
Strong organizational, receptionist, and clerical skills.
Excellent verbal and written communication.
Proficient in Microsoft Office (Word, Outlook, Excel, etc.).
Able to multitask, prioritize, and manage pressure from frequent requests.
Accurate minute-taking skills.
Punctual, professional, and discreet.
Familiarity with Kahnawà:ke community programs is an asset.
Ability to maintain confidentiality and uphold respectful, courteous conduct.
Adheres to the MCK Personnel Policy and Kanien’kéha Language initiatives.
Kanien’kéha and/or French language skills are an asset; willingness to learn is encouraged.
