🎯 Summary of duties

The Coordinator provides administrative and production support for the production unit. They act as the key liaison between producers and external creators collaborating with the unit, gathering documentation, information, and materials, ensuring proper follow-up, and coordinating their distribution.

✅ Main responsibilities

  • Serve as the main contact for submitted projects and other internal/external requests, including those from the creative community.

  • Coordinate logistics for meetings and activities (e.g. reading committee meetings, sound pre-mix screenings, film lessons), and occasionally assist with studio visit preparation.

  • Contribute to the unit’s newsletter, Instagram account management, and project documentation (photos, workspace setup, creative process tracking).

  • Support the team in tracking production schedules, from pre-production through post-production.

  • Manage studio equipment inventory and loans.

  • Assist in preparing credits for productions.

  • Welcome filmmakers at the start of projects, providing orientation on unit practices, safety measures, and available resources (workspace, equipment, access, etc.).

  • Act as a liaison for filmmakers, managing workshop space schedules and responding to logistical support requests.

  • Support coordination of post-production activities, liaising with technical services, marketing, and other NFB departments, while reviewing subtitles, transcripts, captions, video descriptions, etc.

  • Assist in archiving project materials and digital assets.

  • Handle expense accounts and process reimbursement requests for unit members and production teams.

  • Prepare travel plans and coordinate logistics (transportation, accommodation, vehicle rentals, baggage, travel advances, etc.).

  • Contribute to quarterly reports and respond to various institutional requests.

Required experience and qualifications

🎓 Job requirements

  • College diploma in administration or media production.

  • Minimum 3 years of experience in a similar role, or equivalent combination of training and experience.

  • Knowledge of artistic, editorial, technical, and administrative aspects of documentary and animation film production.

  • Familiarity with framework agreements with artists’ and craftspeople’s unions.

  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and Smartsheet.

  • Basic accounting knowledge and experience with financial systems (e.g. project accounting, purchase orders, accounts payable).

  • Bilingualism in both official languages (French and English), oral and written.
