🎯 Job Summary:

The Mohawk Council of Kahnawà:ke (MCK) is seeking a Records Management Clerk to join its Information Management Unit. This position plays a vital role in maintaining the integrity, organization, and security of MCK records—both physical and digital. The role ensures compliance with legal regulations, improves document accessibility, and supports secure record retention and disposal.

Key Responsibilities:

📁 Records Management:

  • Digitize paper documents for long-term storage and accessibility.

  • Index and classify scanned records for easy retrieval.

  • Upload digital records to the centralized records repository.

  • Transcribe media (audio cassettes, floppy disks, CDs) into digital formats.

  • Follow strict confidentiality and security protocols.

  • Implement retention, destruction, and retrieval procedures.

  • Label and organize storage boxes clearly for future use.

  • Coordinate off-site transfers and confidential record destruction.

  • Support various administrative and records management projects.

🔍 Search Requests:

  • Use the ticketing system to monitor and fulfill document search requests.

  • Search through electronic and physical archives using MCK’s systems.

  • Complete searches in a timely and efficient manner.

  • Keep accurate logs of all searches, released files, and approvals.

  • Coordinate with departments to fulfill requests.

  • Set daily priorities based on organizational timelines.

🕒 Work Schedule:

Monday to Friday
8:30 a.m. to 4:00 p.m.
37.5 hours per week

💰 Salary:

Starting at $39,468.00 per year, based on qualifications and experience.

Required experience and qualifications

Education & Experience:

Option 1:

  • DEP in Records Management, Administration, Library Science, Information Management, or related field, plus 1 year of relevant experience.

Option 2:

  • High School Diploma plus 3 years of relevant experience with records management training.


🧠 Knowledge, Skills & Abilities:

  • Familiarity with document storage, retrieval, scanning, and classification best practices.

  • Proficient with Office 365 and document management tools.

  • Excellent attention to detail and strong organizational skills.

  • Ability to handle sensitive information with discretion.

  • Strong written and verbal communication skills.

  • Effective under pressure and able to manage multiple priorities.

  • Ability to lift up to 25 lbs and navigate stairs when required.

  • Willingness to learn the Kanien’kéha language; ability to speak Kanien’kéha or French is an asset.

  • Adheres to MCK Personnel Policy and administrative protocols.
