Main working conditions
* Salary : According to current salary scale, between $46 901 and $58 609
* Flexible 34-hour schedule
* Friday afternoons off
Mandate
* Provide secretarial, administrative and logistical support to the management team and the various teams within the organization, in collaboration with the administration team.
Your main responsibilities
* Provide support in the drafting, production and distribution of internal communication documents and organization news.
* Help organize corporate events (general meeting, employee meetings, training, press conferences, conference calls, travel, etc.) with the organization’s sectors and First Nations organizations.
* Prepare and attend various meetings (Board of Directors, Executive Committee, etc.), and draft minutes.
* Purchase and supervise the maintenance of computer equipment, including front-line service calls, and keep the inventory up to date.
* Ensure that field and event equipment is in sufficient quantity and functional, by maintaining inventories, placing orders and/or ensuring repairs.
* Administer subscriptions, corporate accounts and agreements with service providers.
* Maintain rental spaces, purchase office supplies and maintenance products.
* Ensure a professional greeting of customers in both languages and provide the required information by telephone and e-mail.
* Keep track of travel and absences within the organization and of organizational events
* Handle incoming and outgoing mail and parcels
* Follow up translations with our partners
Required experience and qualifications
Do you have what it takes?
* Relevant experience in administration, office automation or secretarial work and/or Vocational training (DEP) or college (AEC or DEC)
* Good oral and written communication skills in French and English
* Proficiency in the M365 environment and collaborative work tools (Teams, Zoom, etc.)
* Knowledge of an Indigenous language (major asset)
* Relevant work experience with First Nations or an Indigenous organization (major asset)
