Job Description
The KOC Receptionist will provide reception and administrative support services within the Housing and Finance Units. The role requires strong communication, organizational, and multi-tasking skills to ensure the smooth operation of reception and administrative tasks.
Key Responsibilities
Reception Services
- Answer, screen, and direct incoming calls and visitors.
- Record and forward messages, maintain telephone listings, and update office schedules.
- Manage reception and waiting areas, ensuring cleanliness and order.
- Distribute documents, mail, and correspondence to relevant departments.
Administrative Support
- Respond to community members’ information requests.
- Handle photocopying, scanning, and courier arrangements.
- Manage meeting schedules, agendas, and incoming/outgoing mail.
- Prepare and distribute letters, reports, and cheques.
- Maintain office supplies and equipment, ensuring functionality.
- Oversee recycling processes in office areas.
Training
- Train temporary receptionists, evaluating their performance and providing constructive feedback.
Required experience and qualifications
Qualifications
Education and Experience
- DEP in Secretarial Studies + 1 year of relevant experience, OR
- High School Diploma + 3 years of relevant experience.
Skills
- Proficiency in Microsoft 365 (Office).
- Strong receptionist and organizational skills.
- Excellent verbal and written communication skills.
- Knowledge of Kahnawà
community programs is an asset.
- Ability to manage stress and multitask effectively.
Additional Assets
- Knowledge of Kanien’kéha and/or French is an asset.
- Willingness to learn Kanien’kéha is required.
Working Environment
- Standard five-day workweek.
- Moderate to high stress due to interactions with callers and visitors.
- Occasional overtime may be required to meet deadlines.
- Flexibility during lunch hours to ensure uninterrupted reception services.
