Job description

ORGANIZATION: NATIVE FRIENDSHIP CENTRE OF MONTREAL INC.
POSITION: FINANCE MANAGER
PROJECT: CORE
LENGTH: Immediately until March 31, 2025 (with possibility of extension)

The Native Friendship Centre of Montreal (NFC or ‘Centre’) is a non-profit, non-sectarian, autonomous community development agency, whose principal mission is to promote, develop and enhance the quality of life in the urban Indigenous community of Montreal.

ACCOUNTABILITY
The Finance Manager is part of the Administration Team and reports to the Executive Director. The Financial manager plays a key role in the Native Friendship Centre of Montreal, Inc by providing financial reports as needed, managing the financial approval process, and ensuring financial coding is current to contractual obligations.

QUALIFICATIONS
– Bachelor’s degree in Finance or other related fields;
– Must have at least 5 years of Financial management experience;
– Experience in non-profit accounting and an unionized environment preferred;
– Strong organizational and time management skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail;
– Proven ability to handle confidential information with discretion, manage competing priorities, and demonstrate the highest standards of professionalism;
– Demonstrated proactive approaches to problem-solving with strong decision-making capability;
– Self-starter, autonomous and able to work with limited supervision;
– Diplomacy, tact and judgment;
– Regular and predictable attendance and punctuality, as well as reliability to make alternative arrangement when necessary;
– Must be proficient in Sage 50, Microsoft Office Suite (Excel expert level) and a general aptitude for technology;.
– Expert level written and verbal communication skills;
– Professionally proficient in both English and French languages; Indigenous language is a strong asset
– Culturally-competent regarding the values, traditions and belief systems of Indigenous peoples is a strong asset

RESPONSIBILITIES

Accounting
– Provide strong operational and financial leadership to the NFCM
– Entering data, maintaining records, and creating budgets, reports, and financial statements.
– Reconcile of general ledger accounts in SAGE 50.
– Oversee all accounts payable/receivable, including overseeing the preparation of invoices, and ensuring that all bills are paid in a timely manner by preparing payment proposals to vendors and reimbursements to staff, as required.
– Make banking reconciliations, register all banking transactions in the accounting system, and keep a clear record and, ultimately, resolve any pending transactions.
– Oversee monthly reconciliation of all general ledger accounts in preparation of month-end financial statements, including journal entries and any special schedules required.
– Quarterly forecast summarizing current and projected financial position, including cash flow and forecasting.
– Prepare and analyze quarterly and annual financial statements in an accurate and timely manner, or more frequently as requested.
– Oversee fixed asset inventory counts and record keeping.
– Make sure the checking account and credit card balances are within the approved limits.
– Keep track of donations received from different sources (Paypal, CanadaHelps, Interac e-transfers and cheques) and report to the management team.

Payroll and collective insurances
– Ensure that payroll is regularly processed, and payroll information is always up-to-date, and advise the leadership team on any payroll issues as they arise.
– Ensure the weekly time entries of all the staff and manage the overtime bank of every employee.
– Support the Human Resources Manager in making sure the leaves of the NFCM are registered correctly.
– Calculate the amount of the RRSP match of the team and prepare the payment on the website.
– Calculate the correct amount from the NFCM and employees to be paid to Beneva for the group benefit insurance.
– Communicate with Beneva representatives when the team encounters problems with their insurances or the Beneva interface.
– Coordinate the annual meeting with our insurance for the renewal of the contract and coordinate training as needed with our insurance provider.
– Verifying the validity and accuracy of expenses, ensuring compliance with company policies and procedures, and reimbursing employees in a timely manner.

Financial oversight
– Develop and implement financial strategies, manage financial planning and analysis, budgeting and forecasting.
– Coordinate the flow of information to and from staff and board, who possess varying degrees of financial knowledge and experience.
– Collaborate with program managers to develop and monitor project budgets.
– Ensure professional presentation, readability and appropriate content of all financial materials presented.
– Present quarterly reports to the Executive Director.
– Participates as a liaison between with tax preparation and provides required information to prepare any tax related process
– Coordinate and lead an annual audit process, liaise with external auditors and the finance committee of the board of directors; assess any changes necessary.
– Maintain relationships with the organization’s bank, independent accountants, and any other third party as identified by the Executive Director or any other person who has the same signing authority.
– Ensure that financial records are maintained accurately and are consistent with accounting standards for nonprofit organizations, including but not limited to project and program and grants accounting.

WORKING ENVIRONMENT/ HOURS
The work schedule is full-time (37.5 hours per week) Monday through Friday, but may be subject to periodic variations according to organizational requirements. Attendance at events, meetings, training, and workshops is mandatory.
