Job Overview
Reporting to the Office Coordinator, the Administrative Assistant is responsible for providing administrative assistance and general office services to the Corporate Services business line, ensuring that they are consistent with the intentions of the FMD Board of Directors.
The Administrative Assistant is primarily an in-house position, but upon request, this position can liaise and build relationships with various external stakeholders, partners, organizations and individuals.
Responsibilities
• Takes care of reception, mail, couriers, switchboard and general administrative support;
• Manages calendars and schedules appointments with Microsoft Outlook as needed;
• Purchases and monitors the inventory of office supplies;
• Coordinates meetings, including room configuration/dismantling and catering requirements;
• Coordinates travel requests, including flights, hotel reservations and car rentals;
• Provides strong and effective team collaboration, is motivated and contributes to the achievement of FMB’s vision, mission and objectives.
The Administrative Assistant performs other related duties upon request.

Required experience and qualifications
Qualifications
• 2-3 years of experience working in an administrative position
• Proficiency in the Microsoft Office suite (Word, PowerPoint, Excel, Outlook);
• Exceptional organizational skills and ability to prioritize multiple tasks seamlessly in a rapidly changing environment with excellent attention to detail;
• Experience working with information and data management systems;
• Experience working with Indigenous governments, organizations and communities is an asset;
• Valid first aid certificate or willingness to undergo first aid training
• Willingness to participate in continuing education and training for the role, including Indigenous cultural studies
A combination of education and experience will be considered.
