Job description

🎯 Description:

The Mohawk Council of Kahnawà:ke is seeking a Records Management Clerk to help maintain the integrity, organization, and security of its physical and digital records. The position supports compliance with legal requirements, enables efficient document retrieval, and ensures proper storage and disposal of records across departments.

✅ Responsibilities:

Records Management & Digitization

  • Scan paper documents and convert legacy media (audio cassettes, floppy disks, CDs) into digital formats.

  • Classify and index documents and upload to the centralized records system.

  • Label and arrange boxes for storage; coordinate off-site storage and confidential destruction.

  • Adhere to retention schedules, security protocols, and destruction policies.

  • Provide administrative support and assist with projects as needed.

Responding to Record Requests

  • Monitor and fulfill search requests via the ticket system.

  • Locate documents in the electronic system, MCK Archives, or off-site storage.

  • Maintain logs of search requests, approvals, and document check-outs.

  • Prioritize and manage multiple requests while collaborating with other departments.

Required experience and qualifications

⭐ Qualifications:

  • Option 1: DEP in Records Management, Administration, Library Science, or Information Management plus 1 year of relevant experience.

  • Option 2: High School Diploma plus 3 years of relevant experience with records management training.

  • Familiarity with scanning tech and document management systems is an asset.

Skills & Abilities:

  • Knowledge of document classification, storage, retrieval, and data privacy best practices.

  • Proficiency with Office 365.

  • Excellent research, time management, and organizational skills.

  • High attention to detail and ability to manage confidential information discreetly.

  • Strong written and verbal communication skills with professionalism and diplomacy.

  • Ability to lift up to 25 lbs and navigate stairs as needed.

  • Willingness to learn the Kanien’kéha language; knowledge of Kanien’kéha or French is an asset.
