Job description

DURATION: Indeterminate, Full-Time (Nine-Month Probation Period)
SALARY: $1,232.25 to $1,392.00 per week
HOURS OF OPERATION: 8:30 a.m. to 4:00 p.m.
HOURS PER WEEK: 37.5 hours per week

INTERNAL COMMUNICATIONS SPECIALIST – JOB DESCRIPTION

PURPOSE:

Responsible for carrying out internal communications on behalf of the Mohawk Council of Kahnawà:ke (MCK), the Executive Office, and the Organizational Development Unit.

ROLES & RESPONSIBILITIES:

Internal Communications for the Executive Office:

  • Develops and implements an annual communications plan aligned with the goals and objectives of the Executive Office and MCK internal communications strategy.
  • Provides advisory and technical support for all communication needs.
  • Prepares and develops Executive Office Operational Reports for the community.
  • Creates and distributes internal communications on specific files as requested.
  • Adjusts the communications plan as needed based on feedback from the Executive Team.
  • Prepares/distributes speaking notes and communication toolkits for the Executive Team.
  • Attends Executive Office meetings and distributes memos regarding initiatives and their impact on staff.
  • Ensures all communications align with the MCK’s vision, mission, values, and strategy.

Organization-Wide Communications Plan:

  • Supports the MCK Strategic Working Group and Organizational Development Unit by preparing and implementing an annual communications plan.
  • Ensures alignment of communications with the MCK Change Management Framework.
  • Adjusts the communications plan based on feedback from leadership and stakeholders.
  • Prepares and distributes communications about strategic initiatives, milestones, and staff impact.
  • Participates in Operational Planning meetings to ensure alignment in internal communication activities.

Ensuring Compliance with Public Relations Policies & Procedures:

  • Assists PR liaisons with communications and advisory support.
  • Supports communications for internal units such as the Executive Office, Legal Services, Finance, Administration, HR, and more.
  • Ensures internal stakeholders are consulted before external communications are released.
  • Designs, edits, and distributes various communication materials (memos, newsletters, blog posts, videos, posters, etc.).
  • Ensures consistency in messaging and maintains communication accessibility for staff.
  • Arranges translation of materials into Kanien’kéha and French as needed.

Monitoring & Reporting on Internal Communications:

  • Tracks and reports internal communication metrics and key performance indicators.
  • Analyzes data to assess communication effectiveness.
  • Prepares annual internal reports and suggests improvements based on findings.
  • Leads planning and development of the Annual Report for the community.
  • Develops engagement initiatives to encourage staff participation in internal communications.

Required experience and qualifications

EDUCATION & EXPERIENCE:

  • Bachelor’s Degree in Public Relations, Communications, or related field, plus one (1) year of relevant experience. OR
  • DEC in Public Relations or Communications, plus three (3) years of relevant experience. OR
  • High School Diploma, plus five (5) years of relevant experience.

KNOWLEDGE, SKILLS & ABILITIES:

  • Excellent oral and written communication skills.
  • Understanding of internal communications and engagement strategies.
  • Strong project management, analytical, and interpersonal skills.
  • Knowledge of graphic design software and Microsoft Office 365.
  • Familiarity with change management principles (an asset).
  • Ability to work tactfully, discreetly, and courteously with clients.
  • Commitment to confidentiality and adherence to MCK policies.
  • Ability to communicate in Kanien’kéha and French (an asset).
  • Willingness to learn the Kanien’kéha language.

WORKING ENVIRONMENT:

  • Standard five-day workweek in an office setting.
  • Occasional evening/weekend work as needed.
  • Moderate stress due to workload and deadlines.
  • Tight deadlines requiring strong time management skills.
