Job description
Location: Wendake, Quebec (50% in-office, 50% remote work)
Description: Two regular full-time positions (35 hours per week) are available in the research and health services sectors. Responsibilities: The Administrative Assistant provides essential administrative support to ensure the sector’s smooth operation. More specifically, they will:
- Perform various secretarial tasks: drafting and proofreading letters, formatting documents, managing incoming requests, etc.
- Update various documents, lists, and filing systems.
- Act as a super-user for the organization’s office systems, supporting and training employees, and participating in the document management committee.
- Assist in organizing and preparing logistics for training sessions, events, committees, and meetings: reservations, document preparation, invitations, registration follow-up, etc.
- Handle reception duties at the office and cover the receptionist’s tasks in their absence.
Specific Responsibilities – Research Sector:
- Verify forms completed by external interviewers and assist in preparing their remuneration.
- Update the sector’s annual planning, vacation schedules, internal and external committee boards, software access, and budget decentralization.
- Conduct documentary research and track conferences and webinars related to the sector’s activities.
Required experience and qualifications
Qualifications and Requirements:
- Diploma in office automation.
- Minimum of two years of experience in office automation or secretarial work.
- Advanced proficiency in Microsoft 365 Suite (super-user level).
- Knowledge and understanding of First Nations culture.
- Excellent communication skills in either French or English (advanced level) and functional proficiency in the other language.

Salary: The gross annual salary ranges from $48,029.80 to $59,168.20, depending on the candidate’s experience.
Start Date:
- Research sector: As soon as possible.
- Health services sector: June 2025.
